Invoices
Doric keeps the whole customer-invoice trail together: what you charged, what remains outstanding, and the payment that eventually reached your bank account. Issuing an invoice also records the sale in your books, so there is no second transaction to enter.
Getting there
Open Invoices with the invoice icon in the left sidebar. The list shows each invoice's customer, dates, status, total, and remaining balance. Use Draft, Outstanding, Partial, Paid, and Void to narrow it down.
Set up your invoice branding
Before creating your first invoice, click Branding. You can set the display name, address, phone, email, website, and logo shown at the top of invoice PDFs. The display name defaults to your company name. Your branding—including the logo—is kept inside the company file with the rest of your books.
Create an invoice
Click + New Invoice, then fill in the invoice from top to bottom:
- Choose a Customer from your payees and enter an Invoice #.
- Set the Issue date, and optionally a due date, terms, and customer P.O. number.
- Add each product or service as a line with a description, income account, quantity, and unit price.
- Review the Bill to address, which Doric fills from the customer, and add a memo if needed.
Use + Add line when different parts of the invoice belong in different income accounts. Doric totals the lines for you.
Save, issue, and deliver
These are separate steps in Doric:
- Save draft keeps your work without changing your account balances.
- Save & Issue posts the sale to your books and makes the invoice outstanding. This is the step that records Accounts Receivable and the income from its lines.
- Save as PDF creates a customer copy only. It does not issue the invoice, post anything, or change its status.
“Issue” means the invoice is now active in your books; Doric does not email it. After issuing, save the PDF and send that file using whichever delivery method you prefer.
Record a customer payment
There are two ways to connect a payment to an outstanding invoice:
From the invoice
Open the invoice and click Mark paid. Choose the account the money was deposited to, enter the amount and payment date, then click Record payment. You can record a partial payment; the invoice moves to Partial and keeps the unpaid amount in Remaining.
From a bank transaction in the register
If the deposit is already in the register—from an import or bank feed, for example—open its Category picker and choose Apply to invoice…. Select the outstanding invoice and enter how much of the deposit to apply. One deposit can be divided among several invoices when a customer pays them together.
Correcting an invoice or payment
Open an invoice to see its payment history. You can remove an individual payment there if it was matched by mistake. A payment recorded from the invoice is deleted; a matched bank deposit returns to uncategorized in the register. A draft can be deleted; once an invoice has been issued, use Void instead so the record remains visible and the accounting entry is reversed. An invoice with payments must have those payments removed before it can be voided.
Changes to invoices and payments also appear in the Audit Log, where eligible actions can be undone.
